Triggers

Start a workflow when something happens in Torii.

  • New app discoveredRuns when Torii discovers an app your organization uses, or one is added, with its category, owner and where Torii found it. Apps already there when the workflow is turned on don't start it.
  • App moved to a stateRuns the first time an app moves into the state you choose, such as Sanctioned or Closed. Apps already in it when the workflow is turned on don't start it.
  • New userRuns when a person joins your organization in Torii, with their email and lifecycle status. People already there when the workflow is turned on don't start it.
  • User offboarding startedRuns when a person's lifecycle status moves to Offboarding in Torii. People already offboarding when the workflow is turned on don't start it.
  • User offboardedRuns when a person's lifecycle status moves to Offboarded in Torii. People already offboarded when the workflow is turned on don't start it.
  • User left the organizationRuns when Torii sees a person has left, because they were removed from your identity source, such as Google Workspace or Okta. People who had left before the workflow was turned on don't start it.
  • New contractRuns when a contract is added to Torii, with its app, status, amount and dates. Contracts already there when the workflow is turned on don't start it.
  • Contract moved to a statusRuns the first time a contract moves into the status you choose, such as In review. Contracts already in it when the workflow is turned on don't start it.
  • Contract ending soonRuns once for each contract whose end date, when it renews, comes within the days you choose, and again after a renewal gives it a new end date. Contracts already that close when the workflow is turned on don't start it.
  • New audit log eventRuns when something is recorded in Torii's audit log, such as an admin changing a contract or someone signing in, or only events about what you choose. Events from before the workflow was turned on don't start it.
  • Workflow action failedRuns when an action in one of your Torii workflows fails, with the workflow, the kind of error and what Torii recorded. Failures from before the workflow was turned on don't start it.
  • New expenseRuns when an expense matched to an app comes into Torii, from an expense system, your accounting software or an imported file, or only those for the app you choose.
  • New user in an appRuns when someone starts using the app you choose, as Torii sees it, with their licenses there. People already using it when the workflow is turned on don't start it.

Actions

Steps a workflow can run in Torii.

  • Find appsFind the apps your organization uses, by words in their name or by state, with their owner and how many people use them. Leave every field blank to list them all.
  • Get appGet an app's details: its state, category, owner, how many people use it and where Torii found it.
  • Update appChange an app's details, such as moving it to Sanctioned or Closed, giving it an owner, or filling in your own fields. Fields left blank keep what they have.
  • Get app licensesGet how many of an app's licenses are in use, inactive or unassigned, what they cost a year and what the unused ones could save, in all and by license type.
  • List app usersList the people who use an app, with their status in it, when they last used it and their licenses.
  • Search app catalogFind apps in Torii's catalog by name, to add one to your organization or set up a contract for it.
  • Add appAdd an app from Torii's catalog to your organization's apps, such as once a purchase is approved. Torii's API can't remove it again.
  • Find usersFind people in your organization by email, name or lifecycle status, with how many apps they use. Leave every field blank to list them all.
  • Get userGet a person's details: their lifecycle status, role, other emails and how many apps they use.
  • Update user lifecycle statusSet where a person is in their time at the organization: Active, Offboarding or Offboarded. Offboarded, for someone whose offboarding is under way, marks their remaining apps done and completes their open offboarding tasks.
  • List user appsList the apps a person uses, or was removed from, with when they last used each.
  • Mark user removed from appRecord in Torii that a person was removed from an app, such as once their account there is closed during offboarding, or undo that.
  • Find contractsFind contracts by words, status or app, with their amount and dates. Leave every field blank to list them all.
  • Get contractGet a contract's details: its app, status, owner, amount and dates.
  • Create contractAdd a contract for an app, with its status, amount, dates and owner. Fields your Torii admin made required must be filled in.

  • List workflowsList your organization's Torii workflows, with what starts each and whether it's turned on.
  • Run workflowStart a Torii workflow, with the app, person or contract its trigger is about. It does whatever the workflow does, such as offboarding someone or messaging an owner.
  • List workflow action runsList what Torii workflows' actions did, newest first, and whether each finished or failed, such as to check on a workflow you started.
  • Find expensesFind your organization's SaaS expenses, newest first, by app, words, dates or how they're matched to apps. Torii lists expenses matched to an app unless you choose otherwise.
  • Import expense fileUpload a CSV or Excel file of expenses (up to 3 MB) and have Torii read it and match each expense to an app. Torii's API can't remove the expenses again.
  • Get expense importCheck whether Torii has finished reading an expense file, and how many of its expenses it matched to apps.
