Kissflow

Run your Kissflow approvals from workflows: start and submit requests, approve, reject or send back tasks, keep board items and dataset rows up to date, and start a workflow when a request is submitted, moves on or finishes, or a board item changes status.

Triggers

Start a workflow when something happens in Kissflow.

  • New process itemRuns when someone submits a new item (a request) to a process, with its fields and the step it is at. Drafts don't start it until they are submitted. The access key's user must be a Process Admin of the process.
  • Process item reached a stepRuns when an item of a process arrives at a step, or only at the step you name, with who it is waiting for. Items already there when the workflow is turned on don't start it. The access key's user must be a Process Admin of the process.
  • Process item finishedRuns when an item of a process is completed, rejected or withdrawn, or only when it ends the way you choose, with its fields. Items that finished before the workflow was turned on don't start it. The access key's user must be a Process Admin of the process.
  • New task for meRuns when an item of a process starts waiting for you, the access key's user, to act on it, with the step's ID that approving, rejecting or sending it back takes. Tasks already waiting when the workflow is turned on don't start it.
  • New board itemRuns when an item is added to a board, with its title, status, assignee and fields. Items already there when the workflow is turned on don't start it.
  • Board item status changedRuns when an item on a board moves to another status, or only when it moves to the status you name. Moves made before the workflow was turned on don't start it.
  • New dataset rowRuns when a row is added to a dataset, with its key and columns. Rows already there when the workflow is turned on don't start it.

Actions

Steps a workflow can run in Kissflow.

  • List flowsList the account's processes, boards or datasets, with the IDs other steps take.
  • List process fieldsList the fields of a process's form, with the IDs steps fill them in by.
  • Create process itemStart a new item (a request) in a process with the fields you give, and submit it to the process's first step. Turn off Submit it to keep it as a draft.
  • Approve or submit taskFinish your step on a process item: approve it at an approval step, or submit it at any other step, a draft included. Fields you fill in are saved first.
  • Reject taskReject a process item at your step, with a note saying why. It ends the item's way through the process.
  • Send back taskSend a process item back from your step to an earlier one, with a note saying what to change.
  • Get process itemGet a process item's fields, status and the step it is at. Without a step ID or a link that has one, the access key's user must be a Process Admin of the process.
  • List process itemsList every item of a process, a page at a time. The access key's user must be a Process Admin of the process.
  • List my tasksList the items of a process waiting for you, the access key's user, to act on, with the step each is at.
  • List my process itemsList the items of a process you, the access key's user, started or took part in.
  • Update process itemChange a process item's fields wherever it is in the process, without moving it on. The access key's user must be a Process Admin of the process.
  • Delete process itemDelete an item from a process for good. The access key's user must be a Process Admin of the process.
  • Create board itemAdd an item to a board, with its title, assignee, requester, due date, status and the board's own fields.

  • List board itemsList a board's items, a page at a time.
  • Delete board itemDelete an item from a board for good.
  • List board fieldsList the fields of a board's items, with the IDs steps fill them in by.
  • Create dataset rowAdd a row to a dataset, with a key no other row has and its other columns' values.
  • Update dataset rowChange the columns of the dataset row with this key. Columns left blank keep what they have.
  • Get dataset rowGet the dataset row with this key.
  • Delete dataset rowDelete the dataset row with this key for good.
  • List dataset rowsList a dataset's rows, a page at a time, or find rows by words in them. Also lists the dataset's columns.
