How it works

Everything the template sets up, and what to fill in before the first run.

Once a day this workflow reads the contacts that were added to HubSpot since yesterday and writes each one a first introduction email, shaped by what your CRM already knows about them - their name, job title, company, website, lifecycle stage, and how they originally found you. Those are the HubSpot properties it reads, and the only ones the message is allowed to draw on: it is told in as many words never to invent a meeting, a referral or a shared contact, and to use at most one CRM detail so the email reads as interest rather than surveillance.

Nothing is sent by default. Each introduction is left in your Gmail drafts for you to read, change and send yourself. If you would rather it went out unattended, type 'yes' into the 'sendAutomatically' step - that is the only thing that turns sending on.

Nobody is ever introduced to twice. Before writing anything the workflow searches your whole mailbox for that address, and if there is already a message to or from them - sent, drafted, or received - it moves on. That makes re-running it safe, and it also means somebody who has already written to you never gets a cold introduction. The same address appearing on two HubSpot records in one batch is caught as well.

A contact with no email address, or one whose address is not valid, is reported and skipped rather than mailed nowhere. One contact whose introduction cannot be written is logged and skipped while the rest are still handled. HubSpot itself is only ever read - no contact record is changed.

To set it up, fill in 'aboutYou' with a few sentences on who you are and what you do, and 'senderName' with the name to sign off with. 'lookBackDays' (1) and 'maxContacts' (10) bound how far back it looks and how many introductions one run will write - raise 'maxContacts' once you have read a few drafts and are happy with them.

Connections needed: HubSpot, Gmail, and an Anthropic key for the writing.
