How it works

Every hour this workflow reads your leads sheet and rates each new lead against the ideal customer profile you describe, so a rep works the promising ones first instead of the newest ones.

Each rating is a band - Strong fit, Possible fit or Weak fit - and it is never written on its own. Alongside it goes the reasoning: what in the lead's details lines up with your profile, and what the sheet does not say that would change the answer. That is the part a rep actually reads, and it is what makes a rating you can argue with rather than one you have to take on trust. The model is told to judge only what the row says, to call a thing unknown rather than assume it, and to rate fit with your profile rather than the worth of the business.

Ratings are appended to a second tab; your leads sheet is only ever read, never changed. That tab is also the memory. Every rating carries the lead's email address in its first column and that column is read back at the start of every run, so re-running the workflow never re-rates a lead or spends a second model call on one. If the ratings tab cannot be read the run stops rather than starting the whole sheet again.

A row missing a Company, Email or Notes value is reported and skipped rather than rated on half the facts, and an address that is not a valid email is skipped too. One lead that fails is logged and skipped while the rest are still rated. A fixed number of leads is rated per run, so a sudden flood costs one hour's budget rather than all of it.

To set it up: paste the spreadsheet link, name the tab your leads are in (its header row needs Company, Email and Notes columns, spelled exactly like that), add a second tab with the headers Email, Company, Rating, Why and Rated at and name that too, then describe your ideal customer.
